Total Access Admin lets you monitor all your Microsoft Access/Jet Engine databases, with support for Microsoft Access 2016, 2013, 2010, 2007, 2003, 2002, 2000, and 97.

The latest version (2016) includes support for Access 2007-2016 ACCDB database formats, and legacy Access 2000-2016 MDB databases.

Total Access Admin 2016 does not require your machine to have Access installed on it, and works with machines that have the 32 or 64-bit version of Office/Access installed on it. For legacy environments where support for the ACCDB database format is not desired, a lightweight version of Total Access Admin 2003 version 11.6 includes the latest features.

Yes. Microsoft Access/Office 2010, 2013 and 2016 comes in 32 and 64 bit versions. For each Access version, only one bitness version can be installed. Both bitness versions create and use MDB and ACCDB databases that can be used with either version.

Total Access Admin 2016 can monitor databases created by the 64-bit versions of Microsoft Access 2016, 2013 and 2010. It can also monitor and log the users that connect and disconnect from it. So if the database is placed on a shared drive, Total Access Admin 2016 can monitor it whether users are using the 32 or 64 bit version.

Total Access Admin does not need Administrator rights to run it. User rights are sufficient to run the program and the user needs permissions to the databases being monitored.

It may need Administrator permissions to install the program if the PC is missing these Microsoft files (this should not be an issue for Windows NT or later):

  • Microsoft OLE 2.40 for Windows NT and Windows 95
  • Microsoft Tabbed Dialog Control 6.0 (tabctl32.ocx)
  • Microsoft Visual Basic virtual machine (msvbvm60.dll)
  • Microsoft Windows Common Controls 6.0 (mscomctl.ocx)
  • Microsoft Windows Common Dialog Control 6.0 (comdlg32.ocx)
  • Access Database Engine (ACE)

Each user who installs and uses Total Access Admin must have a license. If multiple users want to use Total Access Admin to manage databases, each needs a separate license. Quantity discounts are available.

One instance of Total Access Admin can monitor any database across your network (assuming you have the appropriate Windows and network permissions).

Total Access Admin can monitor multiple databases (with the same security settings) simultaneously in one screen. Up to 100 databases can be monitored at one time.

In the Access 2007 version and earlier, each database needed to be opened in a separate instance of Total Access Admin. That is still necessary if your databases use different workgroup settings, or you want to perform different actions on each database.

You can have an unlimited number of instances of Total Access Admin open on the same machine to monitor all your databases. They can all log the user activity into the same database.

For each instance of Total Access Admin 2016, you can monitor 100 databases simultaneously (up from 50 in the 2010 version). Easily see who’s connecting and disconnecting from each database, and log the activity to an Access database.

Each instance of Total Access Admin uses one workgroup security file (MDW). Open another instance of Total Access Admin for each workgroup security file. You can run multiple instances of Total Access Admin at one time.

For your application to support the Idle User Logout feature, you must include some additional functionality. Sample databases are provided in your Total Access Admin folder. Source code examples are provided for both ADO and DAO database library references.

The easiest way to implement this is to import these items from the sample database into your application:

  • Table: FMS_IdleLogout
  • Forms: frmStartup, frmAdministrator

Please refer to the Idle User Logout topic in your user manual or help file for full details about importing these objects.

If your application has an existing Startup routine, or if you want to integrate the functionality into existing forms, you may want to support the Idle User Logout feature without importing our sample objects. If you are more experienced with Access/VB6 development, you can implement the feature by doing the following:

  • Create a table named FMS_IdleLogout, with a Yes/No field named "Enabled", and an integer field named "Seconds".
  • Add refresh logic to your database to periodically examine the value of the enabled field. If it's set to true, determine how long the user has been idle, and close the database if they have been idle for the specified amount of time.

Total Access Admin supports the accdr file type. To open an accdr file, click the Open Database button on the top right of the Admin user interface. On the Select Database form, click the ellipses button. Browse for the folder where you accdr file is stored. In the File Name text box, type "*.*", and press enter. The accdr file will now be available to select. Select the file and it will then be opened in the interface.

This error occurs when you attempt to run the Update Wizard by double clicking the "Update.exe" directly instead of running it from the Windows Programs Menu shortcut.

This is because the update.exe file requires parameters to run and return the correct information. In order to determine if there is an update available for this product, please run the update wizard program from the Windows Programs menu.
